Share with teammates
You will add a colleague as an Admin on your app so they can edit it, view statistics, and share it with others — while keeping the app Private for external users.
Prerequisites
Section titled “Prerequisites”- You are the Owner of the app. Only owners can add admins.
- Your teammate already has an OnMicro.AI account registered with the email address you will enter.
- The app open in the editor, or available from your dashboard.

Step 1 — Open the Share tab
Section titled “Step 1 — Open the Share tab”- Open your app in the editor.
- Click Share in the center navigation bar.
Scroll to People with access at the bottom of the Share tab. You should see yourself listed as Owner.
Step 2 — Keep the app private
Section titled “Step 2 — Keep the app private”For internal collaboration, leave Who can access set to Private — You and admins only.
Private means:
- You and admins can open and edit the app when logged in.
- External users cannot run the app, even with the direct link.
Admins do not need the app to be Public. If the app is already public, admins still get edit access — but anyone with the link can also use it. Set Private if the app is for your team only.
Step 3 — Add an admin by email
Section titled “Step 3 — Add an admin by email”- In People with access, type your teammate’s OnMicro.AI account email in Add someone by email….
- Click Add.
Checkpoint: The person appears in the list with the Admin role next to their name.
Common messages if adding fails:
| Message | What it means |
|---|---|
| No account found with that email address. | They need to sign up first, or you used the wrong email. |
| This user already has access to the app. | They are already an owner or admin. |
| This app has reached the maximum of 25 admins. | Remove an admin before adding another. |
Adding admins is owner-only. Admins can see the People with access list but cannot add or remove other people.
Step 4 — Confirm your teammate has access
Section titled “Step 4 — Confirm your teammate has access”Ask your teammate to sign in and check their dashboard:
- In the left sidebar, click Shared with me.
- The app should appear in the list.
- They can click the title or Edit to open the Build tab.
Admins can also use Preview, Share, Statistics, and Clone (if cloning is allowed). They cannot Delete the app — only the owner can.
Step 5 — Collaborate
Section titled “Step 5 — Collaborate”Admins have the same editing tools as the owner:
- Change components on the Build tab.
- Use App Builder to modify the app in chat.
- Adjust App settings and view Statistics.
Changes save automatically for everyone with access. Coordinate who is editing to avoid overwriting each other’s work.
Remove access
Section titled “Remove access”Owner removes an admin
Section titled “Owner removes an admin”- Open Share → People with access.
- Hover over the admin’s row.
- Click the trash icon to remove them.
They lose access immediately and the app disappears from their Shared with me list.
Admin leaves on their own
Section titled “Admin leaves on their own”- On the dashboard, find the app under Shared with me.
- Hover the app card and click Leave.
- Confirm when prompted.
What you have now
Section titled “What you have now”Your teammate has Admin access to a private app. They can edit and monitor the app without exposing it to external users.
